Booking Terms & Conditions for Briarfields Motel

Briarfields is and adults only site and therefore all guests including visitors must be aged 18 years and over.

 Amendments due to COVID-19

It has been necessary to make changes to our usual terms and conditions, due to the extraordinary COVID-19 pandemic. This pandemic is outside everybody’s control and we are working hard to ensure all our guests are treated fairly, whilst at the same time, ensuring our business remains viable.

For all existing bookings we are offering to transfer your booking to a later date in 2020 or 2021 and this option is completely free of charge. If the new dates are not possible due to changes in the pandemic, we will happily move your booking again, subject to availability.

On re-opening, there will be many changes and new processes in place, in order to protect our guests, staff and wider local community. Some facilities may be reduced or closed altogether, dependant on the latest government guidelines and our site risk assessments.

We will be doing everything in our power to keep our guests and our team safe. We would urge and expect all guests to adhere to social distancing rules and latest government guidelines. This only works if we all play our part responsibly. We reserve the right to ask any guests to leave if the current government guidelines are not being adhered to.

June 2020 – New bookings

Please be aware that the government may increase or relax restrictions at any time during the pandemic. Therefore, if you choose to make a booking and we are closed we will of course offer to move your booking to another date in 2020 or 2021.

We request that all booking balances are settled 7 days prior to arrival.

It is very important that you do not visit us if you experience or display any of the Coronavirus symptoms before arriving at the park. If you should develop symptoms whilst on the park, please go home immediately, do not have contact with other guests/staff and do not use communal facilities. When you arrive home please contact us at your earliest convenience.

Smoking & Pets are NOT permitted in any of the rooms.

Payment: A 50% deposit will be taken on bookings taken over the telephone/online bookings and the balance to be paid on arrival. Please note that deposits are non-refundable and we advise that you take out your own insurance to cover any losses. Bookings for all bank holidays and Cheltenham Gold Cup Festival will need to be paid in full at the time of booking.

Arrival: Please report to Reception on arrival to collect your key. We accept arrivals up to 8pm; if the office is closed please ring the arrivals telephone number displayed on reception door. Fees must be paid in advance and will not be refunded so please take out your own insurance. Rooms are available at 1pm on the day of arrival and should be vacated by 10am on the day of departure. Prior permission is required from the proprietors to vary these timings. We would be grateful if you could hand your room keys to reception or post them through the letterbox on the door to Reception.

Vehicles: Your vehicle, accessories and contents are left at your own risk. Briarfields will not be held responsible for loss or damage thereto from any cause whatsoever. Commercial vehicles and/or vans will only be accepted at the discretion of the proprietors. All vehicles must adhere to the 10 mph speed limit.

Visitors: All visitors must be aged 18 years or over to visit Briarfields. All visitors must call in at reception before entering the park.

Pets: Pets are not permitted in the Motel.

Fire Regulations: Please familiarise yourself with our fire regulations that are located on the back of your room door and the location of the fire fighting equipment. In the case of the fire alarm ringing you must vacate your room and gather by the garages in the motel car park. All fire doors must be left shut at all times. Toasters and other electrical cooking equipment cannot be used in the Motel rooms due to the sensitivity of the fire alarms. Please shut the bathroom door when showering or bathing.

Noise: Noise must be kept to a reasonable level at all times and please be considerate to fellow guests if coming in late.

Cancellations: A minimum of 28 days written notice (letter or email), in advance of arrival date will be required from anyone wishing to cancel their booking. If more than 28 days is given, the booking may be re-arranged to another available date within the year or alternatively a refund can be given minus £20 administration fee. Cancellations within 28 days of customers’ arrival date will not be transferable or refunded unless in exceptional circumstance such as serious illness or family bereavement. (Appropriate documentation e.g. a medical note must be forwarded in order to process this refund, minus a £20 administration fee). Customers are advised to have their own insurance cover in the event of a cancellation. Refunds cannot be made for any amendments made to the booking on arrival or during your stay.

Room Cleaning: The rooms must be vacated by 10am. If a room is very untidy, the occupant will be asked to clear it up to allow access for cleaning. The cleaning staff will not wash any cooking dishes or implements other than those supplied by Briarfields. Please do not dry laundry on the radiators, use the on-site washing and drying facilities.

Behaviour: You must not cause a nuisance on the park and must ensure that no member of your party does so either. If you or a member of your party commit a serious breach of this Agreement or any of the rules displayed at the park, we may terminate the booking. If the breach is capable of remedy, then before we cancel the booking we will give you a written notice which gives you the opportunity to remedy the breach within a reasonable period. Depending on the nature of the breach, this period may be short – for example a notice relating to anti-social behaviour will generally require remedy within one hour.

Standards: You are asked to notify Reception immediately of any shortcomings in your accommodation or service so that these can be rectified. No subsequent claim can be considered for shortcomings.

Departure: Please vacate your room by 10am on the morning of your final departure. Please lock your own room door when you depart.

Complaints: If you have a problem during your stay with us, please notify Reception staff immediately so we can help you. It is more difficult to investigate a complaint if we only hear about it after you have left.

Privacy: Please ensure you familiarise yourself with our privacy on policy.

Briarfields reserve the right to refuse entry to any person who, in our opinion is not suitable. By entering into the agreement you are undertaking for yourself and other members of your party to behave in a courteous and considerate manner towards other occupiers at Briarfields.

If you or your party are deemed to be behaving unreasonably, causing damage to property or annoyance to others, you will be asked to leave. We reserve the right to claim compensation for any damage done.

You are asked to notify Reception immediately of any shortcomings in your accommodation, pitch or service so that these can be rectified. No subsequent claim can be considered for shortcomings not so notified. We hope that you enjoy your stay and look forward to welcoming you back on your return.

The right is reserved to refuse access to the park/motel to any person or persons without giving reason.
