Terms & Conditions – Park Rules and Conditions of Booking

It is important that each guest has the opportunity to enjoy their stay at Briarfields Motel & Touring Park. These rules, which are designed to benefit all guests, set out the general standards of conduct and behaviour expected.

All bookings are accepted subject to these terms and conditions and also the New Covid-19 Measures unless otherwise agreed in writing.

Accommodation on the park is provided on the condition that all the rules and instructions given by the management are observed. Any person in breach of these rules will be asked to leave the park and no refund will be given.


  • Briarfields Motel & Touring Park is an adult’s only site and can only accommodate guests over the age of 18.
  • Persons under 18 years are not permitted on the park.
  • The management reserves the right to refuse admission when this appears to be necessary in the interests of park guests.

Bookings and Payment

  • To make a booking you must pay a 50% deposit.
  • Provisional bookings are held for a maximum of 48 hours.
  • A 50% deposit will be taken on bookings taken over the telephone/online bookings.
  • Minimum stays – bookings are subject to minimum booking periods set out on the Motel Prices page.
  • Paying your balance – you must pay the balance on arrival.
  • Please note that deposits are strictly non-refundable and we advise that you take out your own holiday insurance to cover any losses. We strongly recommend that you take out travel insurance for unforeseen circumstances.   • Bookings for all bank holidays and Cheltenham Gold Cup Festival will need to be paid in full at the time of booking.


  • Conditions and prices may change without prior notice.
  • Advance bookings accepted by us will be charged at the prices applicable at the time of booking.
  • Prices include VAT at the current rate at the time of booking.
  • We reserve the right to adjust the VAT when required by legislation.

Cancellations or Amendments

For cancellations which are not covered by our COVID Guarantee:

  • Deposits are strictly non-refundable.
  • If you have paid your balance and want to cancel your booking, you must contact us at least 28 days before your arrival date for a refund of the balance only.
  • You may be able to change your dates, subject to availability and an administration fee.
  • No refund or date change is available within 28 days of your arrival date.
  • If we are able to re-let the accommodation within the 28 day period we may in some circumstances be able to offer you a pro rata credit.
  • Similarly, events such as vehicle break-down, illness or inclement weather which may result in delayed arrival, or failure to arrive, are not the park’s responsibility and will result in your deposit being forfeited.
  • Refunds cannot be made for any amendments made to the booking on arrival or during your stay.
  • We strongly recommend that you take out travel insurance for unforeseen circumstances.

COVID-19 Guarantee

Our COVID-19 Guarantee will apply if you contact us prior to your arrival date in any of the following circumstances:

  1. Our park has to close.
  2. There are restrictions on travel from your postcode.

In the above circumstances we will offer to:

  • Reschedule your dates
  • Provide a credit note
  • Provide a full refund


  • Site access is via an Automatic Number Plate Recognition Camera (ANPR).
  • Please register your number plate(s) at reception when you check-in.


  • All visitors (aged 18 years) must call in at reception before entering the park.

Arrivals and Departures

  • Arrival times for touring, camping, glamping and the motel are between 1pm and 8pm.
  • Early arrivals are not permitted unless by prior arrangement.
  • Please call in at reception on arrival where you will be given all the necessary paperwork and information. If reception is closed, please call the telephone number on the door.
  • We cannot guarantee specific rooms, though we do try to arrange the preferences included with your booking.
  • You should leave the site by 10am at the latest.
  • Late departures can be arranged on the day of departure if available and will be subject to a fee.


  • Only one car per pitch is allowed.
  • Additional cars can be parked in the motel car park space if available.
  • All vehicles must adhere to the 10 mph speed limit and roads must be kept clear at all times to allow for emergency vehicle access.
  • Your vehicles, accessories and contents are left at your own risk. Briarfields will not be held responsible for loss or damage thereto from any cause.
  • The charging of vehicles is NOT allowed from your electric point.

Fire Regulations

  • Please familiarise yourself with our fire regulations that are located on the back of your room door and the location of the fire fighting equipment.
  • In the case of the fire alarm ringing you must vacate your room and gather by the garages in the motel car park.
  • All fire doors must be left shut at all times.
  • Toasters and other electrical cooking equipment cannot be used in the Motel rooms due to the sensitivity of the fire alarms.
  • Please shut the bathroom door when showering or bathing – our smoke alarms are sensitive.

Motel Room

  • The rooms must be vacated by 10am.
  • If a room is very untidy, the occupant will be asked to clear it up to allow access for cleaning.
  • The cleaning staff will not wash any cooking dishes or implements other than those supplied by Briarfields.
  • Please do not dry laundry on the radiators, use the on-site washing and drying facilities.
  • If any part of the equipment is found to be faulty, you must notify the park management immediately.
  • You must keep the equipment in good condition and leave it as you found it, other than wear and tear consistent with normal and reasonable use.
  • Please be aware that any injury or damage caused by disregarding the safety guidelines is entirely your fault.
  • Do not use cooking or other gas appliances, smoke (including e-cigarettes and vapes) or use candles or any naked flames inside the motel.
  •  You will be responsible for any damage and loss caused to the Equipment by your acts or omissions.


  • We do not accept groups from single sex parties.
  • We may accept a block bookings solely at the discretion of the management.


  • For everybody’s enjoyment please keep noise to considerate levels during the daytime.
  • Between the hours of 10pm and 7am there should be no noise.


  • Pets are not allowed in the Motel.
  • If you fail to comply with these rules, you may be asked to leave the park immediately with no refund given.

General Conduct

  • Respect the park and other guests.
  • Do not cause any damage to plants, trees or grass.
  • Do not drop litter – place it in the bins provided.
  • Do not intrude on your neighbours privacy.
  • We reserve the right to terminate the visit of any person(s) whose conduct is detrimental to Briarfields or to other guests.
  • The cleaning of vehicles is not permitted.
  • Plug-in electric heaters are not permitted.


  • If you have a problem during your stay with us, please notify Reception staff immediately so we can help you. It is more difficult to investigate a complaint if we only hear about it after you have left.

Privacy & Confidentiality

We will hold your data in accordance with our Privacy Policy.

24 hour CCTV and surveillance is in operation on the park for recording:

  • The detection and prevention of crime.
  • The protection and safety of customers, visitors, contractors and employees.

The park owners cannot be held responsible or liable for loss, damage or injury to property or persons on the park howsoever caused. Guests are advised to check that their insurance policies cover all personal and third party risk for the period of their stay.
